Outreach → Mass Mailer → Segments. Same access as the Mass Mailer.
Rules you can combine
- Status, lead source (any of)
- Tags and contact lists: any of, or none of
- Owner — a team member, or Unassigned
- State (two-letter code, or unknown)
- Outreach: never called, emailed or texted — or has been
- Not contacted in the last N days
- Added in the last N days, or more than N days ago
- Email domain: include or exclude
Different rules are AND-ed together; the values inside one multi-select rule are OR-ed.
Saving
Give the segment a unique name and add at least one rule. A segment with no rules would match everyone, so it is refused — the message appears right above the Save button. To email everybody, choose the audience “All contacts with an email address” instead.
Good to know
- The live preview shows how many contacts match and how many are mailable.
- A segment can never widen what you can see — it is applied on top of your own visible contacts.
- A segment used by a draft blast cannot be deleted.
- Build list turns a segment into a regular contact list. It is a snapshot: it does not follow the segment afterwards.
- Creating, editing and deleting segments is recorded in the Audit Log.
