Mass Mailer: Email Many Contacts at Once

Updated October 16, 2026

Where to find it

Outreach → Mass Mailer. Available to admins and to managers whose role allows campaigns; reps are sent back to the dashboard.

Pick an audience

You can narrow by lead source, status and assigned-to, exclude contact lists, and hold back individual people on the Audience page. You only ever reach contacts you can see, and archived contacts are never included.

Skipped automatically

Contacts with no email, who opted out, whose address bounced, whom you held back, or who are on the Never-email list. The Audience page shows how many were skipped and why. These checks run again at send time, so someone who unsubscribes after you queue the blast is still skipped.

Write the email

Test, then send

Send a test to up to 3 addresses at a time (20 test addresses an hour). Then choose a pace of 1–200 messages a minute (default 40) and either send now or schedule it for a future time up to 90 days out. Before it can send, your email provider must be configured and your organization needs a postal address (required by CAN-SPAM).

After you queue it

Queueing prepares one message per recipient. Keep the page open until “Preparing” finishes. Until anything has gone out you can un-schedule the blast back to a draft; after that you can Stop it and the unsent messages are pulled back. A blast cannot be deleted while it is queued or sending.
